IB Lounge ("we", "us", "our") operates the website at iblounge.org and provides IB tuition services in Singapore. This Privacy Policy explains how we collect, use, store, and protect your personal data in accordance with Singapore's Personal Data Protection Act 2012 (PDPA).
By using our website or services, you consent to the practices described below.
1. Who this applies to
This policy applies to three groups of people:
- Parents who enquire about, book, or pay for tuition services.
- Students whose progress and lessons we track.
- Tutors who join IB Lounge and use our internal tools.
2. What data we collect
From parents
- Name, email address, phone number (WhatsApp)
- Payment-related information processed by our payment provider
- Messages and correspondence with our team (email, WhatsApp, in-person)
From students
- Name, school, IB year, subjects being tutored
- Lesson attendance, grades, tutor notes, and monthly progress reports
From tutors
- Name, email, IB record, teaching subjects, biographical profile
- Payment details for payroll (PayNow number)
- Lessons taught, logged through our internal portal
Automatically collected
- Basic website analytics: page views, referring pages, approximate location (city-level), browser type
- Cookies necessary for signed-in sessions (tutors + admins only — public pages do not require cookies)
3. Why we collect it
- To match students with appropriate tutors
- To schedule, deliver, and track lessons
- To generate and send monthly invoices and receipts
- To share monthly progress reports with parents
- To improve our teaching and operational processes
- To comply with accounting and tax obligations in Singapore
4. Who we share it with
We do not sell personal data. We share minimum necessary data with:
- Email service providers (Resend) — to deliver invoices, reports, and sign-in links
- Hosting providers (Railway, Neon) — to store and serve our website and database
- Assigned tutors — tutors see names, lesson notes, and parent contact for students they tutor. They do not see payment details.
- Singapore authorities — when required by law (e.g. tax audit, court order)
5. How long we keep it
- Active students: throughout the tutoring relationship, plus 7 years after the last lesson (Singapore tax record-keeping requirement)
- Inactive enquiries / declined trial bookings: up to 2 years
- Tutors who leave: personal profile data is anonymised or removed within 90 days of request; payout records retained for 7 years
- Website analytics: aggregated data may be retained indefinitely; individual session data up to 12 months
6. How we protect it
- All data is stored in encrypted databases
- Access to the admin portal is restricted to IB Lounge founders (Markus and Andre)
- Access to the tutor portal is restricted to vetted tutors who have signed a data-handling agreement
- Transport to and from our servers is HTTPS-encrypted
- Passwords are not stored. Sign-in is via one-time email magic links.
7. Your rights under PDPA
You have the right to:
- Access: request a copy of the personal data we hold about you or your child
- Correct: ask us to correct data that's inaccurate
- Withdraw consent: stop us from using your data for any purpose, subject to legal obligations we cannot waive
- Delete: request deletion of your data when the tutoring relationship ends, subject to record-keeping requirements

8. Cookies
The public site does not use tracking cookies. Our internal portal uses a single session cookie for sign-in — this is set only after you successfully authenticate and is cleared on sign-out.
9. Children
Students under 18 are enrolled through their parent or guardian. The parent is our billing and primary contact. We do not market directly to minors.
10. Changes to this policy
We may update this policy as our operations change. The "last updated" date at the top reflects the most recent change. Material changes will be communicated to active parents by email.
